Terms and Conditions

1. Scope and eligibility

  • Ely Masonic Hall is available only for meetings, rehearsals, dinners and other functions of Craft Lodges and recognised masonic units that are based at, or authorised to meet at, Ely Masonic Hall.
  • For licensing purposes, all Freemasons attending are treated as members of the Club within the meaning of the Club Premises Certificate.
  • Non-masonic attendees (e.g. guests at ladies’ nights or white table events) are treated as bona fide guests of members and must be recorded in the visitors book on arrival.

2. Membership and guests (licensing)

  • Alcohol and any regulated entertainment may only be provided to: members (i.e. attending Freemasons), and their bona fide guests, who are present with and signed-in by a member.
  • No event may be advertised or opened to the general public unless a separate licensing authorisation (e.g. Temporary Event Notice or Premises Licence) has been obtained with the prior written consent of the Hall Committee.
  • The Hirer (normally the Lodge or unit) is responsible for ensuring compliance with the conditions of the Club Premises Certificate and any additional conditions imposed by the licensing authority.

3. Visitors book requirement

  • A visitors book will be made available at each qualifying event.
  • The senior Lodge officer present (or their nominee) must ensure that: each non-masonic attendee is entered in the visitors book, including full name and the member they are accompanying; and any visiting Freemasons who are not members of an Ely-based unit are also recorded.
  • Entries in the visitors book must be legible and retained as part of the Hall’s licensing records for inspection by the licensing authority or police upon request.

4. Prohibited use

  • The Hall may not be hired out or used for: private functions where the majority in attendance are neither Freemasons nor bona fide guests of Freemasons; or events promoted or open to the general public, such as ticket sales to non-members, unless separately licensed as above.
  • External organisations may only use the Hall where the event is clearly and demonstrably a masonic function under the sponsorship and control of a Lodge or recognised unit, and the licensing conditions on membership and guests are fully observed.

5. Responsibility of the Hirer

  • The Hirer must ensure all brethren understand that, for licensing purposes, they are members of the Club and that their guests must be signed in.
  • The Hirer must ensure the visitors book is properly completed and returned to its designated place after the event.
  • The Hirer must co-operate with any inspection or audit of visitors book entries requested by the Hall Committee.
